Assistant Director of Alumni Relations Harvard-Westlake School, Los Angeles, CA Harvard-Westlake School is an independent, co-educational college preparatory day school consisting of two campuses located in Los Angeles, California with approximately 1,600 students enrolled in grades seven through twelve. The Office of Advancement is currently seeking an extremely detail-oriented, organized, creative, energetic, and collaborative Assistant Director of Alumni Relations to be an integral and contributing member of the Alumni Relations Team at one of the nation’s top independent day schools. The qualified candidate must have a minimum of two years of related work experience or experience in an independent school and/or college setting. Primary responsibilities include assisting with all aspects of the growth-oriented alumni program (engagement, giving, and communications) with special focus on young alumni/student programming, alumni communications, and digital engagement. The qualified candidate should have the desire to learn about the advancement or alumni relations field in an independent school, a commitment to the philanthropic profession, and the skills to interact with a diverse and inclusive community of alumni, students, parents, trustees, and colleagues. This person will report to the Director of Alumni Relations and work at the middle school campus. Young Alumni/Student Programs • Develop and execute engagement strategy with alumni in college and young professionals, attending to the needs and challenges of a transient population • Coordinate alumni receptions held in conjunction with the Junior Year College Tours • Coordinate and develop the HW Student Alumni Association (HWSAA) program including recruiting and training student volunteers, providing educational opportunities on philanthropy, and alumni engagement • Organize activities of the HWSAA including alumni thankathons, the Senior Class Gift Program, and staffing at alumni events • In conjunction with the Director of HW Works, facilitate professional mentorship and networking opportunities for young alumni and students Alumni Communications, Digital Engagement, and Operations • Serve as project manager for the monthly alumni e-newsletter • Manage, monitor, and update digital platforms including alumni webpages, social media pages and groups, and digital engagement tools including Emma, Evertrue, and Graduway • Identify and establish a group of alumni class influencers • Monitor general alumni email account and respond to alumni requests including support for web user interface • Manage all alumni contact information updates and Class Notes submissions for HW Life magazine • Send electronic invitations for alumni events, manage RSVP lists, and send follow up emails and surveys • Assist in proofing invitations, solicitation letters, and publications including HW Life and the Annual Report • Create metrics for digital engagement to guide strategies to increase overall engagement and giving Alumni Relations and General Advancement • Assist with operations including printing and preparing mailings, producing nametags, entering data, and providing reports • Attend events including affinity group, alumni association, regional receptions, and general advancement and school-related (25-30 evening/weekend events annually) and assist with nametags, logistics, hospitality, and troubleshooting • Assist with general responsibilities of the Alumni Relations Team including planning events, managing volunteers, and stewarding donors • Attend Alumni Relations Team and staff meetings, office retreats, and general school functions • Attend advancement-related conferences throughout the country relating to alumni relations and advancement at independent schools

Minimum Experience: 1-3 Years

Qualifications • Bachelor’s degree • Experience with event planning, communications, social media, and/or data management • Demonstrated ability to manage volunteers and deal diplomatically and comfortably with a diverse community • Knowledge and practical experience with advancement communication pieces and/or platforms and exceptional writing, proofing, and communication skills • Ability to organize, manage, multitask, and meet deadlines across varied projects and constituencies within a complex office/school calendar • Calmness under pressure accompanied by a sense of humor • Passion for accuracy and detail • Takes initiative with a positive, energetic, can-do spirit • Flexibility and proactive approach toward complex, ambiguous, and dynamic responsibilities • Familiarity with independent school environment; specific knowledge of Harvard-Westlake is a plus Compensation: Commensurate with experience—competitive, full-time, with a robust benefit package.
